Six Degrees Medical is a collaborative, female-led, medical communications agency based in Toronto with remote workers across Canada and the UK.

Reporting to the Director, Event Management, the Event Planner will be responsible for supporting the delivery of successful virtual and in-person meetings and events. You are a clear and direct communicator, outcome-oriented, and always ready to jump in and help others on the team when the opportunity shows itself as you collaborate with the Six Degrees Medical(SDM)’s Event Management group. You are excited and open to learning all aspects of the client journey to help enhance SDM’s client experience.

 


What your responsibilities as our Event Planner will be:

  • Providing support to the Event Managers on any assigned tasks across a wide range of projects
  • Ensuring existing systems are followed precisely (but with scope to establish new systems)
  • Managing suppliers (e.g., including but not limited to: Virtual platforms, AV, hotel, and transfer companies) and ensuring that it aligns with the budget for any given project
  • Building and managing the registration platform using Cvent to ensure it meets clients and regulatory policies
  • Possible on-site coordination (both European and international travel may be required)
  • Facilitating traffic virtually or on-site through the various workshop rotations, breakout sessions, directing people to the various rooms to which they have been assigned
  • Post-event activities including transfer of value (TOV) reporting, delegate expenses, evaluation
  • Working with the Project Delivery team to gather meeting evaluations and prepare evaluation summaries
  • Consolidating expenses and other financial related material and ensuring timely payment
  • Interacting with speakers, clients, and attendees (or their Executive Assistants) to ensure their participation and logistical requirements including consultancy agreements are prepared and signed; travel and ground transfers are booked in line with the meeting program
  • Preparing and assembling delegate/ advisor packages for distribution during the meeting/ event
  • Managing and improving the delegate experience by enhancing the registration process and managing the requirements from the build up to an event as well as post event tasks
  • Staying up to date with regulatory and compliance related restrictions within the hosting countries for events to ensure no violations with respect to travel, venues, and catering restrictions (e.g., economy versus first flight class)

What you’ll need to succeed:

  • A College or Bachelor’s degree in Commerce or Event Management, coupled with a minimum of 1 year logistics
  • experience for both virtual and in-person meetings/ events, preferably in an agency supporting Health Sciences or Pharmaceutical industry
  • Experience using Cvent
  • Knowledge of and familiarity with online platforms (such as Cisco, GoToMeeting, Zoom, Slido, SpotMe), virtual environments and polling applications
  • Knowledge of regulatory and compliance environment of the pharmaceutical industry and within hosting countries
  • Ability to build and maintain strong relationships
  • Experience working professionally and effectively with diverse groups and individuals i.e., third-party contractors and negotiations – locally and globally
  • Strong organizational skills, sets priorities to meet operational deadlines, juggle multiple projects simultaneously in a fast-paced environment
  • Experience with Monday.com or other project management software is an asset
  • Strong interpersonal and communication skills and a passion for working in a team environment
  • A self-starter mindset; demonstrates initiative and ownership of responsibilities
  • Self-direction with integrity, positive attitude, confidence,speed, and a passion for SDM’s vision, mission, and values
